The Standard Client Letter Prints an Unnecessary "Internal Revenue Service" After the Address for Form 1040-ES Vouchers

Situation

The standard client letter prints an unnecessary "Internal Revenue Service" after the City, State, ZIP code line of the Mail To address for Form 1040-ES vouchers if the taxpayer does not reside in Pennsylvania or Kentucky.

In ProSeries/1040 or ProSeries Express/1040 (v2006.01), if you restored the initial standard letter or inserted the codes for the PA or KY third/fourth quarter estimates paragraph this situation can occur.

Note: If all your clients who make quarterly estimated tax payments live in Kentucky or Pennsylvania, this situation doesn't affect you.

Solution

This situation is corrected in update (v2006.02) now available online. Download and install this update. (Go to the Update menu and select Update Installed Products.)

If you edited the standard client letter for Form 1040 returns, but did not complete the steps in the above workaround, do so after installing the update. 

If you have not edited the standard client letter for Form 1040 returns, you can restore the initial standard letter after installing the update. Follow these steps, to restore the standard client letter for Form 1040 returns:

  1. Open a Form 1040 return.
  2. Go to the Tools menu, select Letters, then select Restore Initial Standard Letter.

Note: The program will replace the previous version of the standard client letter for Form 1040 returns with the current version of the standard client letter for Form 1040 returns. (If you did make edits to the standard client letter, they will be lost when you restore the initial standard letter.)

Workaround (prior to update)

  1. Open a Form 1040 return.
  2. Go to the Tools menu, select Letters, then select Edit Letter.
  3. In the Edit Letter dialog box, select Edit to open the standard client letter.
  4. Scroll down the letter to the end of the Federal Estimated Tax Payments section.
  5. In the letter, below the line "Mail your third and fourth quarter vouchers to:" locate the line with the codes: [@FDIEstAddr1] <@FDIEstAddr1>
  6. Replace the first code on that line with the following code: [@FDIPAKYL1] <@FDIEstAddr1>
  7. Go to the File menu and select Save Standard Client Letter. This should eliminate the unnecessary "Internal Revenue Service" line.
  8. To preview the letter, go to the File menu and select Print Preview.
  9. To exit the letter editor, go to the File menu and select Exit Letter.
